Marketing Notifications
Connect marketing platforms for notification workflows
Where to find it: Admin → Notification → Integrations
When you'd use this: When you want notification workflows to automatically send contacts, events, or updates to Klaviyo, Mailchimp, or HubSpot.
What you need first:
- Credentials from your marketing platform:
- Klaviyo: API Key and Public API Key
- Mailchimp: API Key, Audience (List ID), and optionally the Data centre code
- HubSpot: Private App Access Token
Set it up:
- Go to Admin → Notification → Integrations
- Click the + tab to add a new connection
- Select your provider from the dropdown
- Enter the required credentials for that platform
- Click Connect
- The connection appears as a new tab with a Connected badge
To update credentials:
- Open the tab for the connected provider
- Update any settings (leave credential fields blank to keep the current stored value)
- Click Update
To remove a connection:
- Open the tab for the provider you want to disconnect
- Click Remove
- Confirm the removal
The system will warn you that workflows sending to that platform will skip those actions until you reconnect.
Syncing your customers to a platform:
Each connected provider shows a Contact sync card. Use this to send your existing customer list to the platform:
- Open the tab for the connected provider
- In the Contact sync card, click Sync customers to [Provider]
- A progress panel shows the sync status in real time
- When complete, the Last synced chip updates with the time
The sync runs in the background. You can leave the page and return later; the progress will resume when you come back. If progress becomes unavailable, the sync continues on the platform and you can reload the page later to see the result.
Note: Credentials you enter are masked and stored securely. When you view a connected integration later, credential fields show "Saved. Leave blank to keep the current value." instead of the actual keys.
Create event workflows that trigger marketing actions
Where to find it: Admin → Notification → Event workflows
When you'd use this: When you want store events—like a new user registration or order placement—to automatically trigger an action in your connected marketing platform or send an email.
What you need first:
- At least one marketing platform connected (Klaviyo, Mailchimp, or HubSpot) if you want to sync contacts or events to those platforms
- Mailgun configuration if you want to send emails
Set it up:
- Go to Admin → Notification → Event workflows
- Click New workflow
- The builder creates a draft workflow named "Untitled workflow" with a trigger and action already selected
- Click the workflow name at the top to rename it
- Click the Trigger node to choose which store event will start the workflow (for example, "New user registered" or "Order placed")
- Click the Action node to choose what happens when the event fires
- The action menu only shows options that work with your selected trigger
- Click Save workflow
Using it day-to-day:
The list shows all your workflows with their trigger event and action. The most recently updated workflow appears at the top.
Click any workflow row to open it in the builder, where you can:
- Change the trigger or action by clicking the node and selecting a different option
- Rename the workflow by clicking its name
- Delete it by clicking Delete and confirming
When you change a trigger event, the builder keeps your current action if it's supported by the new event. If the action isn't compatible, it switches to the first supported action for that event.
Troubleshooting:
- The action I want isn't in the menu — Not all actions work with every event. The menu only shows actions that the selected trigger supports. Change the trigger event if you need a different action.
- Workflows reference a disconnected integration — When a workflow fires and the marketing platform it needs isn't connected, the system skips that action instead of failing. The workflow completes normally. Connect the integration at Admin → Notification → Integrations, and new events will include the action. Past events won't retry automatically.
Automatic handling of disconnected integrations
When you'd use this: When you've created a marketing notification that references an integration (like HubSpot, Klaviyo, or Mailchimp) but haven't connected that integration in your store yet, or if you later disconnect it.
What happens:
When a notification fires and the integration it needs isn't connected, the system automatically skips that action instead of failing. The notification completes normally without affecting other actions or events in your store.
Common scenarios:
- You create a "Create contact in HubSpot when new user registers" notification before connecting HubSpot
- You disconnect a marketing integration but forget to disable notifications that use it
- An integration becomes unavailable temporarily
What you'll see:
The notification event itself will show as delivered in your notification logs. Individual actions that reference disconnected integrations are skipped silently — they won't appear as failures or send alert emails.
To fix:
- Go to Admin → Notification → Integrations
- Connect and enable the integration the notification requires
- Once connected, new events will trigger the full notification flow including the previously skipped actions
Note: Past events that occurred while the integration was disconnected will not be retried automatically. Only new events after you connect the integration will include those actions.
